Who is responsible

Hack Esbjerg is organised by COD3RS, which is run by Y-A-S ApS, CVR 45856186, Bådebrogade 1, 6700 Esbjerg, Denmark. Y-A-S ApS is the data controller for the personal data described on this page. You can reach us at contact@cod3rs.org.

This website

The site is hosted by Cloudflare. When you open a page, Cloudflare processes technical request data on our behalf: your IP address, browser type, the page requested and the time. We use it only to deliver the site and keep it secure.

The website sets no cookies and uses no analytics, tracking or advertising. Fonts, scripts and images are served from our own domain, so opening a page contacts no company other than our hosting provider.

Running the event

You apply through our application portal at apply.cod3rs.org, which has its own, fuller privacy policy. When you apply, we collect the information that is necessary for running the event, including your first name, last name, email, phone number, age, school or institution, level of study, country of residence and dietary restrictions, and any optional details you choose to add, such as your CV. We store your application status, your RSVP and check-in status, your team and your project.

Major League Hacking (MLH) is the official student hackathon league. Hack Esbjerg is an MLH member event, so the application asks you to authorise us to share your application and registration information with MLH for event administration, ranking and MLH administration, in line with the MLH Privacy Policy. Our community chat runs on Discord, which processes your account data under its own policy.

We store application information for 3 years and then delete it or keep it only in anonymised form, or until you ask us to delete it.

Sponsors

We wouldn’t be able to organise Hack Esbjerg without the help of our sponsors. Sponsors, in exchange, have access to your CV and to the other parts of your application that are relevant for recruiting. They may use this information for recruiting purposes, for example to send you a job offer. If you do not want your application shown to sponsors, write to contact@cod3rs.org and we will exclude it.

Media and publicity

We take and publish photos and video throughout the hackathon. You may appear in some of them. We aim to publish photos that show everyone at their best, but there might be a few that you don’t like. If you see a photo like this, let us know and we will take it down from the channels we control — but be aware that it is difficult to completely erase a photo that has already been shared by others.

These images are used to share news about Hack Esbjerg and to publicise future events. They may be used in press releases, printed publicity, on this website and on our social media. If you would like to see the images of you, or would like us to delete them, write to contact@cod3rs.org. If you would rather not be photographed at all, tell an organiser at the event.

We publish the names of the winners and the winning projects. We may publish other content associated with this, such as videos of the winners presenting.

Who receives your data

MLH, the sponsors of the event, Discord, and the companies that run our systems for us: Cloudflare (hosting) and Brevo (email). Some of these companies are based in the United States; transfers to them are covered by the EU–US Data Privacy Framework or the European Commission’s standard contractual clauses. We do not sell personal data.

Your rights

You can ask for access to the personal data we hold about you, have it corrected or deleted, and object to or restrict its processing. Write to contact@cod3rs.org.

If you believe we handle your data wrongly, you can complain to the Danish Data Protection Agency (Datatilsynet) at datatilsynet.dk.
